Refund a product sale

A refund gives the customer money back for some or all of a sale, and razza can put the items back in stock. It is also how you correct a sale, because a sale cannot be edited: refund it, then sell again.

Steps

1. Open Product sales and set the dates to cover the day of the sale.
2. If you need to, search by sale number, customer or product.
3. Select the sale, then Refund.
4. Under What is coming back, set how many of each product come back, or select Everything.
5. Leave Put the items back in stock ticked, or untick it for opened or damaged items.
6. Check the amounts under Money goes back to.
7. Add a reason if you want one, then select Refund.

Put the items back in stock covers every item in the refund, so refund opened or damaged items separately.

How much goes back, and where

razza works out the Refund total from what the customer paid for those items, discount included. You cannot type a different total.

The money goes back to the payment methods the customer used. razza fills in the amounts, and you can change them. Each method can give back at most what it took, less any earlier refund, and the amounts must add up to the refund total.

razza records the refund but moves no money itself. Give the money back to the customer yourself, by the methods and amounts you entered under Money goes back to.

Once the refund is recorded

• The sale reads Partly refunded, or Refunded once every item is back, which removes its Refund button.
• With Put the items back in stock ticked, razza puts the items back in the stock of the branch that sold them.
• If the sale was charged VAT, razza issues a credit note for the refund. It is listed with the refund on the sale.
• The amount shows under Refunds in Reconciliation, and comes off the customer’s Total Spent.

If there is no Refund button

Refunds need Can manage payments as well as Can sell products, and only the owner can give Can manage payments. A sale already refunded in full has no button either.
