Reconciliation
Reconciliation shows the money you received over a period you choose, split by payment method and net of refunds, so you can check it against your cash drawer and your bank.
Watch how it is done
- Open Reconciliation.
- If you have more than one branch, choose one at the top, or All Branches; the figures follow it.
- Under Count amounts by, choose Collection date or Appointment date.
- Set the period with From and To, up to three months back. The page opens on today.
- To check one shift, keep Collection date, set both dates to its day, then select Specific hours only and set From time and To time.
- To see what one person took, choose them under Collector. Online card payments are under Online / system.
- Compare each method’s total with your count: cash with the drawer, cards with the card machine, transfers with your bank.
The times run from From time on the first date to To time on the last, so for a shift past midnight, set To to the next day.
What the figures mean
Section titled “What the figures mean”At the top, Total received is all the money counted in the period, Refunds is what you gave back, and Net total is the difference. Under Breakdown by payment channel, each method shows what stayed on it after its refunds, and the methods add up to Net total. A method with refunds shows them as refunded (excluded from total). When gift cards were used or credited back in the period, a Gift cards spent row comes last, outside these totals: the cards were paid for online when they were sold.
If your business sells products, sale payments count in each method’s total and sale refunds under Refunds, and Of which product sales shows how much of Total received came from sales. To see bookings or sales on their own, choose Bookings or Product sales under Show, but compare with your drawer under All and Collection date.
A team member sees only their own branch.
Analytics counts bookings rather than money received, so its figures can differ from these. Expenses compares this money with what you spent.
When razza counts the money
Section titled “When razza counts the money”With Collection date, razza counts each amount on the day you received it. Cancelling a booking or marking it a no-show does not take it off that day, so a deposit you keep stays in your takings. A refund comes off the day you make it, under the method it went back through, even when the payment was on an earlier day.
With Appointment date, razza counts every payment and refund on a booking on its appointment day, whatever day the money moved. Here a product sale and its refunds count on the day of the sale. To see deposits already taken for upcoming appointments, move To ahead first: From cannot pass it.
How much of it is deposits?
Section titled “How much of it is deposits?”When a method’s row shows of which deposits, its amount is the deposits on that method on bookings not yet paid in full, or kept from cancelled bookings. With Collection date, these are deposits taken in the period, whatever the appointment day. With Appointment date, they are deposits on bookings with an appointment in the period.
Select that line to see each deposit with its booking number, customer, appointment date, and who collected it and when, or when it was paid online. Each one shows what is Still owed on the booking, or Booking cancelled, deposit kept. Select a booking number to open the booking.
If the figures do not match your drawer
Section titled “If the figures do not match your drawer”- If a booking payment was recorded under the wrong method, correct its method. razza moves it on its original day, so that day’s total stays the same.
- To trace one payment, open its booking, or the sale under Product sales. A booking’s payment list shows each payment’s method and time, and who on your team recorded it or how the customer paid online.
