Invoices
Checkout issues the invoice on its own, so you do not need to raise one yourself. If a checked-out booking has no final invoice, even when it has a Deposit document, open the booking and choose Generate Invoice. A team member sees it only when every service on the booking is at their branch.
Watch how it is done
- Open E-Invoices.
- Pick the year and quarter, or choose Day or Custom range (up to 366 days) and set the date.
- Read the totals at the top. With more than one branch, select All Branches to include them all.
- To download the period’s invoices as one file, select Export PDF.
- To send one invoice to ZATCA now, open its row menu and choose Submit to ZATCA.
- To send several, tick them, open Actions, and choose to send them to ZATCA.
The PDF lists the same invoices the totals count, for the period and branch you chose. A team member sees only the invoices and totals of their own branches, and their PDF holds nothing else. Sending to ZATCA is for the owner and team members who can manage e-invoicing.
What gets issued, and when?
Section titled “What gets issued, and when?”Checkout issues one invoice for the whole booking. A deposit, or any payment taken on an earlier day than the appointment and before checkout, gets a document of its own the moment it is received, tagged Deposit, except gift card money, which the card’s invoice covers. Checkout deducts it from the final invoice, so the customer is never billed for it twice. In the list, a booking’s documents sit together under it, and a gift card’s or product sale’s under the card or sale number. A gift card’s documents count under your main branch. On your team, only the owner sees them.
Can I change an issued invoice?
Section titled “Can I change an issued invoice?”No. razza fixes the amounts the moment it issues the invoice. If VAT was charged on the invoice, razza corrects it with a note instead: a Credit Note for exactly what went back when you refund, and a Debit Note for a service you add after checkout.
If the checkout itself was wrong, choose Reopen booking on the booking (needs Can manage payments and Can edit bookings). razza reverses its final invoice with a credit note, or cancels it if it is Issued (tax-exempt), and issues a new one at the next checkout.
Do I have to send invoices to ZATCA myself?
Section titled “Do I have to send invoices to ZATCA myself?”No, unless you switched automatic sending off, or an invoice shows Failed or Draft. Once you have connected to ZATCA, razza sends each invoice about 12 hours after issuing it. The wait is deliberate, so a wrong invoice can be spotted first.
A Failed or Draft invoice stays out of the totals until it reaches ZATCA. What each status means says how to send it.
If you switched automatic sending off in your ZATCA settings, razza sends none of them. A banner at the top of this page counts the invoices waiting, and you can send them all with Send all to ZATCA. ZATCA expects each one within 24 hours of issue.
Sending one to the customer
Section titled “Sending one to the customer”To send an invoice on WhatsApp now, choose Send on WhatsApp in its row menu. This works for every invoice and note when your business uses WhatsApp. If no mobile number is on file, as for a walk-in sale, razza asks for one first and uses it for this message only.
razza can also send them for you: switch Deposit invoices and Final invoices on in your WhatsApp notification settings, and choose a delay of up to 5 hours. Both start off. Final invoices also covers a booking’s credit notes and product sale invoices. If you check out with Check out on account (BNPL) on, razza sends the final invoice once the balance is paid.
