Manage expense categories

Every expense has a category, and every category is fixed or variable, which is how razza splits your totals. Fixed costs stay about the same each month; variable costs change with how busy the business is.

razza starts every business with nine categories. Rent, Salaries, Government fees and Subscriptions are fixed. Utilities, Supplies, Marketing, Maintenance and Other are variable.

Add a category

1. Open Expenses and select Categories. On a phone, it is the tag icon at the top.
2. Enter the Name.
3. To show a different name when the portal is in Arabic, enter the Name in Arabic.
4. Choose Fixed or Variable.
5. Select Add category.

You can also open Categories from the expense form, beside Category.

Once the category is added

It appears in the list straight away, and you can choose it for new expenses. Categories belong to the whole business, not to a branch: the owner and every team member with Can manage expenses see the same ones and can change them.

Rename a category or change its type

Select the pencil icon beside the category, make your changes, and select Save.

In Arabic, the portal shows a category’s Name in Arabic whenever it has one, as the nine built-in categories do. To rename a category in Arabic, change that field, not Name.

A new type applies to every expense in the category, past ones included, so they move between Fixed costs and Variable costs in your totals.

Hide or delete a category

To hide a category, select the eye icon beside it. It stays in the list, with Hidden under its name. Expenses already in it keep it, even when you edit them, and still count in your totals, but it can no longer be chosen for any other expense. Select the eye icon again to show it. At least one category has to stay visible.

To delete a category, select the bin icon beside it and confirm. You can delete only a category your business added, and only while no expense uses it. The nine built-in categories can be hidden but not deleted.
